Privacy Policy

The Little Portrait Club (by Tegan Johnson T/A The Little White Studio) ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal information we collect, how we use it, and your rights, in line with the New Zealand Privacy Act 2020. It covers this booking and gallery app (app.thelittleportraitclub.nz) and the portrait sessions you book through it.

The Little White Studio has its own privacy policy covering thelittlewhitestudio.nz. This policy covers the app — including everything you enter when you book, and the online gallery your photos are delivered in.

What information we collect

Depending on how you use the app, we may collect:

Your name, email address and phone number. Your email address is also how you sign in.

The names and ages/dates of birth of the children being photographed, so we can label your galleries and remember them between sessions.

Booking and session details — the session you chose, your arrival time, any extras, and any preferences or notes you share.

Portrait images created during your session, and the favourites you choose from your gallery.

Any memories or captions you write against a chapter in your gallery.

Payment information, processed securely by Stripe. We store a payment reference and what was paid, never your card details.

Membership, credit and reward-point balances, and your history of earning and spending them.

Gift voucher details, including the purchaser's and recipient's names and email addresses, and any personal message written on the voucher.

Your marketing preference, your photo-usage consent, and — if you tell us — how you first heard about us.

If you opt in to marketing, your name, email address, phone number, and your children's ages are also added to Klaviyo, the platform we use to send marketing emails and/or text messages (see below).

A record of the emails and texts we send you about your bookings, including their content and delivery status, and any replies you send back.

How we collect information

We collect information when you book a session, create an account or sign in, complete your booking details, open or edit an online gallery, buy a gift voucher, join a membership, reply to one of our texts, or contact us directly.

Most of it you give us yourself. Some is created as you use the app — for example your gallery selections, your credit balance, or the delivery status of a reminder text.

How we use your information

We use your information to:

Manage your booking and hold your place on the day.

Send you booking confirmations, reminders and updates by email and text.

Deliver your online gallery and let you choose and download your favourites.

Take payment, apply any credits or vouchers, and issue refunds where they're due.

Run memberships and reward points, including tracking what you've earned and spent.

Send marketing emails and/or text messages where you have opted in — you can unsubscribe at any time.

Understand how the app is used so we can improve it.

We do not sell your information. Where we use your children's ages to decide which offers are relevant to you, that's covered in the next section.

Children's information

Because we photograph children, we hold their first names and dates of birth. We collect this from the adult making the booking, and we use it to:

Organise and label your galleries, and show your child's age on each chapter.

Plan a session that suits their age and stage.

Work out which of our sessions are likely to be relevant to you — for example, letting you know about first-birthday portraits as your baby approaches one, or milestone sessions as they grow.

That last one is marketing, and we'd rather be upfront about it than bury it. A few things we think matter:

It's sent to you, not your child. Any offer based on your child's age goes to the parent or guardian who made the booking. We never contact children.

Only if you've opted in. If you haven't opted in to marketing, your children's details are used purely to run your sessions and galleries. You can opt out at any time.

To do this, your child's age is shared with Klaviyo, the platform we use to send marketing emails, so we can send age-relevant offers rather than emailing everyone about everything.

We never make your children's details public, never share them with advertisers or data brokers, and never sell them. Their names and photographs are visible only to you and to us, and are never used to target advertising.

Cookies, analytics & tracking

The app uses cookies that are necessary for it to work — keeping you signed in and remembering your booking as you move through it. These can't be turned off without breaking the app.

Where configured, we also use the following third-party tools, each of which processes data under its own privacy policy:

Google Analytics — usage analytics. (Google Privacy Policy)

Google Ads — measures the effectiveness of our advertising. (Google Privacy Policy)

Meta Pixel — measures and improves our Facebook and Instagram advertising, and may be used to show you relevant ads. (Meta Privacy Policy)

Microsoft Clarity — captures anonymised, aggregated usage information such as heatmaps and session replays. (Microsoft Privacy Statement)

You can control or block cookies through your browser settings, and you can opt out of personalised advertising via Google Ad Settings and your Meta ad preferences. Blocking cookies may affect how parts of the app work.

Your online gallery is not tracked by advertising tools.

Service providers

We use trusted providers to run the app:

Cloudflare — hosts the app, its database, and your photos, and sends our emails. (Cloudflare Privacy Policy)

Stripe — processes payments and memberships. Your card details go directly to Stripe and are never held by us. (Stripe Privacy Policy)

WebSMS — sends and receives our booking texts. (WebSMS Privacy Policy)

Klaviyo — sends our marketing emails and/or text messages. For anyone who has opted in to marketing, it holds their name, phone number, email address and their children's ages, so we can send age-relevant offers. (Klaviyo Privacy Policy)

Some of these providers store or process data on servers located outside New Zealand. We only work with providers we consider to handle data responsibly.

Your photos and your gallery

Your gallery is private to you. It's reached through a link sent to your email address, and opening it requires access to that inbox. Please don't forward gallery links to anyone you don't want to see your photos.

Portrait images will only be used for our website, social media, portfolio or marketing purposes where you have given consent. That consent is recorded per session, so you can say yes to one and no to another, and you can withdraw it for future use at any time by contacting us.

Marketing communications

We will only send you marketing emails if you have opted in — either by ticking the marketing box when you book, or by signing up to our mailing list on one of our websites.

If you opt in, we add your name, email address, phone number, and your children's ages to Klaviyo, the platform we use to send marketing emails and/or text messages. Klaviyo stores that information and records whether you open our emails, so we can see what's useful and send less of what isn't. It's the same mailing list across The Little Portrait Club and The Little White Studio, so you'll only ever be on it once.

We use your children's ages to group our mailing list, so the offers you get are the ones likely to matter to you — a first-birthday session as your baby approaches one, rather than everything we run. This is explained in more detail under "Children's information" above.

Booking confirmations, reminders and gallery notifications are not marketing — we send those because you have a session with us, and they're necessary to provide the service. You'll keep receiving those whether or not you've opted in to marketing.

Every marketing email includes an unsubscribe link, and you can change your preference at any time in your account settings or by emailing us. Unsubscribing removes you from our marketing list; it doesn't affect your bookings or your galleries.

How long we keep it

We currently keep your account, booking history and galleries indefinitely, so your children's chapters stay together over the years — that continuity is the point of the app, and we'd rather your photos were still here in ten years than tidied away.

We may introduce a retention period in future. If we do, we'll update this policy and give you reasonable notice before anything is removed, so you have time to download whatever you want to keep.

We keep payment and transaction records for as long as tax and business record-keeping law requires. If you ask us to delete your information, we'll delete what we're able to and explain anything we're legally required to retain.

Storage and security

We take reasonable steps to protect your personal information from loss, misuse and unauthorised access. Connections to the app are encrypted, your photos are stored in access-controlled storage, and signing in requires access to your email inbox rather than a password you might reuse elsewhere.

Access and correction

You have the right to request access to the personal information we hold about you, and to ask us to correct anything that is inaccurate. You can update your own contact details and your children's details at any time in your account settings. For anything else, please contact us at the address below.

We take your privacy seriously and only collect the information we need to provide your session and photos.
